GBF Guidelines for Fishouts and Clinics

  1. The Fishmaster, who reports to the Granite Bay Board of Directors, works directly with any member who wishes to organize an activity. This person will be known as the “Activity Leader” for that fishout or clinic activity.
  2. The Activity Leader and Fishmaster will work together to determine a date for the fishout or clinic. It is the responsibility of the Fishmaster to ensure there are no events which conflict with other Granite Bay Flycasters’ events.  Once a date has been determined, the Fishmaster updates the GBF Website Calendar. (This is done to give members a heads up so they can plan in advance to attend the activity, not a shortcut for signing up early)
  3. The Fishmaster and the Activity Leader will determine how far in advance the activity needs to be promoted and how best to promote it. Some special activities need to be promoted several months in advance.
  4. The Fishmaster will inform the Activity Leader when an article announcing the clinic or fishout is due. The Activity Leader writes an article announcing the clinic or fishout and then e-mails the article to the Fishmaster for approval.
  5. The Fishmaster reviews and approves the article and forwards the article to the President and the Leader Editor for final approval by the 15th of each month in order to be published in the next edition.
  6. The Leader Editor forwards all articles to the Webmaster for placement on the GBF Website. At the same time he sends the finalized articles to the Leader Publisher. The Webmaster will create a link via the calendar date when he adds the articles to the website. No changes or additions will be made to the articles without the approval of the Fishmaster and/or the President.
  7. Many of our activities are limited to a finite number of members. In order to give every member an equal opportunity to participate, members will only be allowed to sign up at a General Meeting for a finite activity after the activity has been announced in the Leader. Another member may sign up an absent member at a meeting, but to show impartiality, no Board Member, Fishmaster or Activity Leader will add a name to a sign up sheet. An Activity Leader may sign up members on a finite list outside a meeting only after the sign-up sheet has been placed out at a general meeting and there are still openings available for the event. An Activity Leader may sign up a member at anytime if the activity allows for infinite participation.
  8. All finite enrollment activity articles will inform members that sign ups will only be allowed at a meeting due to limited space at the activity. Announcements will also be posted on the Website informing that sign ups for finite enrollment will only be allowed at the monthly meeting so that everyone has an equal opportunity to participate.  
  9. At the monthly meeting the Activity Leader of the fishout or clinic will present the sign-up sheet to the President or the Fishmaster for approval prior to it being placed on the front table and being made available to the membership. 
  10. It is the responsibility of the Activity Leader to retain a sign-up sheet after the meeting. It is not the President or Fishmaster’s responsibility to do this as they have other duties to perform at a meeting.
  11. The Activity Leader will forward a copy of the sign-up sheet to the Fishmaster.
  12. An “E-mail Blast” may be used only in special circumstances. Examples of some of the excepts are as follows:

a.  If there is a time constraint that prevents the above policy from being      followed. This is to be determined by the President and Fishmaster.

b.  After the announcement appears in the Leader as a reminder to the membership of the upcoming event.

c.   If, after members have signed up and if room is still available.
